Professional Bulk Document Scanning from MDSS
When paper records accumulate over years — or decades — the burden on your business is real. Filing cabinets overflow, retrieval takes time, compliance becomes harder to demonstrate, and valuable office space is consumed by boxes that should have been digitised years ago.
MDSS provides professional bulk document scanning for organisations across the UK. Whether you have 50 boxes or 5,000, we manage the entire process — from secure collection at your site through to delivery of fully indexed digital files — with zero disruption to your day-to-day operations.
Every project is managed by a dedicated team with experience across legal, healthcare, financial, public sector, and commercial environments. We work to your timescale, your indexing structure, and your file format requirements. Nothing is assumed; everything is confirmed before we begin.
What We Scan
Our bulk scanning service covers the full range of standard office and archive formats:
- Case files and legal bundles
- HR records and personnel files
- Financial documents, invoices, and purchase orders
- Medical records and patient notes
- Historic or archived documents
- Mixed A5–A3 format documents
- Operations and maintenance manuals
If your project includes large-format drawings, microfilm, microfiche, or aperture cards, we can incorporate those formats into the same job — no need to split the project across multiple suppliers.
How the Process Works
- Collection — We collect your documents from your site across the UK using secure, tracked vehicles. Boxes are logged on departure and tracked throughout.
- Preparation — Our team removes staples, sorts files, and prepares documents for scanning. We work from your existing index or create one with you before work begins.
- Scanning — Documents are scanned on professional-grade equipment, producing high-resolution PDFs or TIFF files to your specification.
- OCR and File Naming — We apply Optical Character Recognition for full text searchability and name files according to your agreed structure.
- Delivery — Completed digital files are delivered via encrypted transfer, USB, or our secure cloud portal. Original documents are returned, stored, or shredded on request.

No. We can accommodate projects from a single box upwards. For very small volumes, our scan-on-demand service may be more appropriate — we can advise once we understand your requirements.
Timescales depend on volume and complexity. Most mid-sized projects (50–200 boxes) are completed within two to four weeks of collection. We agree a specific timescale with you before the project begins.
Searchable PDF is the most common format requested. We also produce TIFF, PDF/A (for long-term archiving), and JPEG depending on client requirements. We can produce multiple formats from a single scan run if needed.
Yes. If you have an existing index or reference system, we will work to it. If you do not have one, we will create one with you before the project begins — file naming and folder structure is agreed upfront.
That is entirely your choice. Original documents can be returned to you, placed into our secure storage facility, or confidentially destroyed with a certificate of destruction. Many clients opt for a combination — retaining originals with a legal or compliance requirement and destroying the rest.
Yes. MDSS operates as a data processor under UK GDPR. We provide a Data Processing Agreement as standard, maintain a full chain-of-custody log throughout the project, and apply appropriate security controls to the handling, scanning, transfer, and disposal of your documents.
