Confidential Shredding That Takes Compliance Seriously
Every business generates confidential waste. Personnel records, financial documents, client correspondence, contracts, medical records, legal files — all of it carries obligations under UK GDPR and sector-specific regulations that require secure, evidenced destruction when the time comes to dispose of it.
Putting sensitive documents in a recycling bin is a data breach waiting to happen. An office shredder handles low volumes but creates no audit trail and cannot cope with business-scale disposal. MDSS provides a fully managed confidential shredding service that handles secure destruction at any volume, with a certificate of destruction issued for every job as evidence of compliant disposal.
How the Service Works
Our process is designed to be simple for your team while maintaining a secure, unbroken chain of custody from collection to destruction.
For scheduled contracts, we place locked confidential waste consoles in your office. Staff deposit documents directly into the consoles — no sorting, no bagging, no handling of loose paper. On collection day, we remove and replace the consoles, transporting the contents securely to our shredding facility. For one-off clearances or large volume jobs, we arrange collection of boxed or bagged material directly.
After destruction, a certificate of destruction is issued confirming the date, volume, and method of disposal. This serves as your compliance record and can be produced as evidence if the ICO, a regulator, or an auditor ever requires confirmation of proper disposal.
One-Off and Scheduled Shredding
We work with businesses on two main bases. One-off clearances suit businesses carrying out an archive clear-out, relocating offices, closing a site, or dealing with an estate. We collect, destroy, and issue the certificate — a straightforward job with a clear end point.
Scheduled contracts suit businesses with ongoing confidential waste, whether that is a busy professional services firm generating regular client correspondence, a healthcare provider disposing of patient records, or a business with a legal requirement to maintain an evidenced destruction programme. We set a frequency that suits your volume and handle the rest.
End-of-Retention Destruction for Stored Documents
For businesses using our off-site document storage, confidential shredding integrates directly into the retention management process. We monitor retention periods, alert you when documents are approaching the end of their required retention, and carry out destruction on your instruction. No logistics on your end, no separate contractor to manage — just a certificate of destruction added to your compliance file.
GDPR and the Legal Requirement for Secure Disposal
UK GDPR requires that personal data is not retained longer than necessary and is disposed of securely. Failure to destroy confidential documents properly is treated as a data breach under the legislation, carrying potential fines and reputational damage. The ICO has issued enforcement action against organisations that failed to dispose of sensitive records correctly, including cases involving recycled office paper that was not properly destroyed.
Our shredding service is operated under a Data Processing Agreement, maintaining compliance throughout. The certificate of destruction we issue is specifically designed to provide the documentary evidence required to demonstrate compliant disposal if your records are ever audited.

A certificate of destruction is a formal document confirming that your confidential records have been securely destroyed — stating the date, volume, and method of disposal. It serves as your evidence of compliant disposal under UK GDPR and sector-specific regulations. If the ICO, an industry regulator, or an auditor asks how you disposed of sensitive records, the certificate is your proof. We issue one for every job, regardless of size.
On-site shredding means a shredding vehicle comes to your premises and destroys documents at the kerbside, allowing a member of your staff to witness destruction directly. Off-site shredding means documents are collected securely and transported to our facility for destruction. Both methods are GDPR-compliant and both result in a certificate of destruction. On-site suits businesses with very high sensitivity requirements or regulatory obligations to witness destruction; off-site is the more common and cost-effective option for most businesses.
It depends on the volume of confidential waste your business generates and your sector’s regulatory requirements. Some businesses shred monthly, others weekly or quarterly. As a minimum, no confidential document should be left unsecured once it is no longer in active use. If you are unsure what frequency suits your business, we can advise based on your sector and estimated volume.
Yes. End-of-retention destruction is a core part of our off-site storage service. We monitor retention periods, notify you when documents are due for destruction, and carry out shredding on your instruction. A certificate of destruction is issued and added to your records automatically.
Yes. We operate as a data processor under UK GDPR and provide a Data Processing Agreement for all shredding clients. Our collection process uses locked consoles to prevent any unsecured handling of confidential waste. Chain-of-custody is maintained from collection through to destruction, and the certificate of destruction provides your documentary evidence of compliant disposal.
Yes. One-off clearances are a significant part of what we do. If you are clearing an archive room, relocating, closing a site, or simply carrying out a long-overdue clearance, we can arrange collection and destruction at short notice. Contact us with an estimate of volume and location and we will provide a quote and a collection date.
We handle all standard paper documents including files, folders, printouts, photocopies, and stapled or bound documents. We do not require documents to be separated or de-stapled before collection. If you have specialist materials — such as microfilm, hard drives, or media — contact us and we will advise on whether we can handle these or recommend a specialist provider.
